Pre-departure Instructions - additional details for Erasmus ICM students

Dear students,

Read the following details properly as it gives you further details on the checkout procedure regarding the Erasmus ICM programme administration.

Your scholarship is calculated by day based on the dates in the scholarship contract you signed after your arrival at MU. Most of you signed the scholarship contract with 10th July 2024  (resp. 9th July 2024 for full year students) as the last day of scholarship support, so you must stay in Brno by at least 5th July 2024 (resp. 4th July 2024 for full year students) to get the full financial support as indicated in the grant agreement/addendum to the grant agreement.

In case you plan on leaving earlier than 5th July 2024 (resp. 4th July 2024 for full year students) you must let me know immediately to change the grant agreement and reflect it in the last scholarship instalment. If you stay longer after 9th July 2024 you will not get any further scholarship coverage.

Keep in mind that the minimal lenght of your stay in Brno must be at least 3 months.

If you want to change the date of your departure, let us know immediately! I would appreciate if you could inform me about your date of departure from Brno in any case, no matter when you are leaving.

You need to inform me about your departure date from Brno by e-mail  until 26 May 2024 if you leave in July or at least 30 days before the planned departure if you leave Brno in June or earlier.

Additional check out steps for Erasmus ICM students

In addition to pre-departure steps described earlier in a separate email you need to take following steps:

1. Achieve 20 ECTS - minimum requirement for the whole semester! 40 ECTS for full year mobility. In case you receive less than 20 (40) ECTS you must return respective part of the scholarship back to MU (condition of getting the last scholarship payment).

2. Come in person to my office to sign the confirmation of departure - usually based on the date of departure from Brno. Everyone has to arrange an appointment with me by e-mail reflecting the date of departure from Brno. Please keep in mind that I am not in the office every day. So once you know the date of departure from Brno, we will arrange in-person meeting individially.

3. Check out from your accommodation (see the email I sent you recently)

The last instalment of scholarship (30 per cent) will be paid after

  • you have completed the Learning Agrement and its changes (for spring semester 2024)
  • you have received a positive research report from your reseach supervisor (only for students carrying out research at MU)
  • you gain at least 20 ECTS or we arranged differently
  • you inform me about the date of departure and date of check out (you must let me know before 26th May 2024 or earlier as mentioned above)
  • if you are leaving earlier than 5th (4th) July 2024, you must sign additional documents to amend the original grant agreement
  • submitting the boarding pass(es)/ bus/train tickets from your back-home travels

 

Green Erasmus travel top-up request:
If at least a half of your traveling to Brno and back consists of a green travel (a bus and a train, a shared travel) you may request the Green Erasmus top up (EUR 50). Please email me back to double-check with me for further details. If elegible, the top-up will be added to your last schlarship instalment.

 

Travel documents:

You must submit the boarding pass from your air travel back home and inform us about any changes that appeared during your travel back home and have not been shared with us (esp. change of date).

After mobility steps

the first step

right after your official last day of your Erasmus stay in Brno (according to your grant agreement) you will receive an email with link to submit EU Survey (your final report on your stay at MU for the EU commission). Fill it out immediatelly after you get the request. It is a condition for keeping the Erasmus+ ICM grant.

the second step

once you arrive back home you must submit the boarding passes from your flight back home or a passport stamp from border crossing in case you travelled by bus/train.

the third step

once you get back home with MU transcript of records, you need to get your MU credits recognized by your home university. Once it happens you need to fill out the last section of the Learnig agreement called After mobility where you enter the recognition results (no further signature needed).
