Erasmus+ ICM travel arrangements and scholarship details for the spring semester 2026

The arrival date to Brno is set for Sunday 8th February 2026 at the latest. The latest departure date is set for Tuesday 7th July 2026. So you need to be present in Brno for this period for your exchange Erasmus+ ICM programme to get the full 5 month-long scholarship support from Erasmus ICM program. If you wish you can arrive earlier and/or leave later – however, make sure you have a valid passport and visa to cover that period.

The earliest departure date from Brno is Tuesday, 7th July 2026 in case you want to get the full 5-month long scholarship support
(both dates are also the edge dates for scholarship supported period, different individual arrangements apply). The minimal lenght of mobility is 3 months. If you arrive later or leave earlier, only your physical presence within this edge dates will be considered for the scholarship support and the scholarship amount will be adjusted based on the real date of arrival/departure to/from Brno.

If you leave Brno for a period longer than a week, you must inform your MU coordinator at MU (Mr. Martin Vašek) about it. If you leave MU for more than a week, the Erasmus ICM scholarship will be stopped for the period of your leave. 

Traveling options: general notes

You need to get your travel arranged by yourself
  1. We recommend you to arrange transport to/from Brno only once your visa has been issued
  2. Please make sure you also include the cancelation insurance (for general reasons) in case you need to cancel the mobility or you cannot enter the Czech Republic at all.
  3. Please be aware that only travel costs (travelling) that take place within 14 days before and after the mobility to MU/from MU are considered relevant for travel cost reimbursement.
  4. Please note that the limit (see bellow) is meant to cover your travel to Brno and back (and changes of your ticket that might occur or other travel costs incl. bus and train).

Traveling options: by plain

Few important rules:

  1. You will be reimbursed up to the amount of the travel cost category you belong to based on the distance of universities (your home university and MU) after your arrival to Brno and only upon handling all required documents (flight itinerary and boarding passes).
  2. If you are arranging your flight yourself, we do not advise you to start the ticket purchase before the embassy issues your visa – it can happen that you do not get visa on time and it is not possible to cover change/cancellation fee.
  3. Make sure you also arrange a cancelation insurance for the ticket for unpredictable circumstances.
  4. Masaryk university is responsible for financial management of the project and therefore is obliged to decide which costs can be reimbursed and which not, in accordance with the rules of Erasmus+ program.
  5. In case you are not able to come to Brno (different restriction on the way, closed border, program decision) make sure you can apply the ticket cancelation policy.

Travelling options: by bus or train

Traveling by bus/train is usually cheaper than flying and it is more eco-friendly therefore we recommend it whenever it is practical. Unfortunately, we are not able to arrange tickets for bus or train. You will be reimbursed up to the amount of the travel cost category you belong to based on the distance of universities (your home university and MU) after your arrival to Brno and only upon handling all required documents (bus/train itinerary, tickets and passport border crossing stamps).

If traveling by bus/train is the only way of  transport you used on the way to Brno and at the same time from Brno to your home country, you may get elegible for a Green Erasmus top-up (its amount depends on the distance category, is app. from EUR 30 to 80). Please make sure you get more details about Green Erasmus top-up from the MU coordinator (if you are eligible).

The Green Erasmus travel costs top-up applies to travelling by bus or train only if at least of half of travel (for more than 500 km) of inbound and outbound journey is made with bus or train. 

We will requiere your bus/train ticket to proof your ways of transport to and from Brno and the travelling dates.

Travelling options: other ways of transport

Other ways of transport are also elegible for reimbursement (such as shared ride or individual transport), however, we need to identify the time of arrival/departure from Brno. We will also need to present a passport stamp from border crossing of Schengen area. The green Erasmus top-up does not usually apply to invididual travel. You will be reimbursed up to the amount of the travel cost category you belong to based on the distance of universities (your home university and MU) after your arrival to Brno and only upon handling all required documents (border stamps, other documents to report individual travels).

Travel costs limits

Maximum amount of all travel costs covered by the Erasmus+ project (calculated according to kilometers from city of your home university to Brno). Distances are calculated, in accordance with rules of Erasmus+ program using the online tool. The limit is meant to cover one trip to Brno and back to your home country (round trip) for all means of transportation together.

Erasmus+ ICM scholarship details

After your arrival to Brno, you will be given the first scholarship installment in app. from to two to three weeks after your arrival. It will be transferred to your bank account in EUR you will open after your arrival to Brno based on our instructions.


Your scholarship will be paid in two installments (we will explain the details once you arrive). The scholarship is EUR 800 (for project 2023) and EUR 850 (for the project 2024) for a period of 30 days.

  • 70% of the whole amount within 2-3 weeks after your arrival
  • 30% before your departure from Brno after you gain at least 20 ECTS for a semester workload

Travel costs reimbursement  transfer will happen:

  • inbound and outbound travel within the first scholarship instalment (the scholarship transfer will be topped up with the reimbursed amount).
  • Erasmus green travel top-up  within the second scholarship instalment (the scholarship transfer will be topped up with green Erasmus top-up if elegible)
