Dear students,

Read the following details properly as it gives you further details on the checkout procedure regarding the Erasmus ICM programme administration.

Your scholarship is calculated by day based on the dates in the scholarship contract you signed after your arrival at MU. Most of you signed the scholarship contract with 3rd February 2023 as the last day of scholarship support, so you must stay in Brno by at least 30th January 2023 to get the full financial support as indicated in the grant agreement/addendum to the grant agreement. In case you plan on leaving earlier than 30th January 2023 you must let me know immediately to change the grant agreement and reflect it in the last scholarship instalment. If you stay longer after 3rd February 2023 you will not get any further scholarship coverage.

Keep in mind that the minimal lenght of your stay in Brno must be at least 3 months.

The scholarship information does not apply to Erasmus ICM zero grant students. The other pieces of information do apply to zero grant students. 

If you want to change the date of your departure, let us know immediately!

You need to inform me about your departure date from Brno by 2nd January 2023 by e-mail.

Additional check out steps for Erasmus ICM students

In addition to pre-departure steps described earlier in a separate email you need to take following steps:

1. Submit EU Survey - one month before the end of your mobility (according to your grant agreement) you will receive an email with link to submit it. As all of you have the end of mobility set for 3rd February 2023, you will receive the EU Survey app. on 3rd January 2023. Fill it out immediatelly after you get it (condition for getting the last scholarship payment)

2. Achieve 20 ECTS - minimum requirement for the whole semester! In case you receive less than 20 ECTS you must return respective part of the scholarship back to MU (condition of getting the last scholarship payment).

3. Check out from your accommodation (see the email I sent you recently)

4. Come in person to my office to sign the confirmation of departure - usually based on the date of departure from Brno. Everyone has to arrange an appointment with me by e-mail reflecting the date of departure from Brno. Please keep in mind that I am not in the office every day. So once you know the date of departure from Brno (at the beginning of January 2023) we will arrange in person meeting individially.

The last installment of scholarship (20 per cent) will be paid after

- you have completed the Learning Agrement and its changes

- you have submitted EU Survey online

- you gain at least 20 ECTS or we arranged differently

- you inform me about the date of departure and date of check out (by 2nd January 2023 or earlier as mentioned above)

- if you are leaving earlier than 30th Junuary 2023, you must sign additional documents to amend the original grant agreement
- you requested the way back travel reimbursement if applicable (find the form here and an example how to fill it out). We will reimburse you only back to home university travel plans (no other place is elegible). If you do not request the travel costs reimbursement back home by 2nd January 2023, we will not be able to reimburse you afterwards.

You will also have to submit the boarding pass from your air travel back home and inform us about any changes that appeared during your travel back home and have not been reflected in the travel costs reimbursement

The scholarship information and travel reimbursement request does not apply to Erasmus ICM zero grant students. The other pieces of information do apply to zero grant students, too.

After mobility steps

First step: once you arrive back home you must submit the boarding passes from your flight back home or a passport stamp from border crossing in case you travelled by bus/train.

Second step: Once you get back home with MU transcript of records, you need to get your MU credits recognized by your home university. Once it happens you need to fill out the last section of the Learnig agreement called After mobility where you enter the recognition results (no further signature needed).
