Long-term visa application for the purpose of study

We are hereby sending you vital information about the visa application procedures which can take up to 60 days (or 30 days for Erasmus ICM fast track)! Please pay attention and read them carefully as visas are one of the crucial requirements for studying abroad. Please use the attached check list so that you do not forget anything.

We divided the whole procedure into a few steps:

1. Passport check - contact details check

  • Valid passport – passport has to be valid at least 6 months after the end of your mobility
  • Your name in the online application has to be exactly the same as on your passport

2. Visa appointment & police clearance certificate

Contact the nearest Czech embassy and check the visa application requirements. You can find the addresses of the embassies here. Make sure you are aware of the visa application submission options (you may need to arrange the visa application submission appointment in advance). We may also place your name on a fast track programme which may help you to get an earlier date for your visa application appointment at the embassy. I emailed you more details about it already (but see below as well), keep in mind that you need to have all visa documents ready for the visa appointment ASAP.

Do not wait for our documents to start the process, start with the preparation of others documents the embassy asks for! Without the criminal record translated into the Czech language (“police clearance certificate” or “extract from the Penal Register record”) the embassy will not accept you! I will also email you the scanned copy of the visa supporting documents. The Embassy may need it for arranging the visa application submission appointment.
Erasmus ICM fast track:
MU may place you on a special fast tracklist for the priority visa appointment. It means that you will be approached by the Czech Embassy directly to find a visa appointment for you with a priority. All you need to do from your end to be placed on the fast track is to provide us (vasek@czs.muni.cz) with a fully signed Learning Agreement for the autumn semester 2023.
Be aware of the fact that once I placed you on a special fast tracklist, you may get the appointment in a week from that point, so must be sure you are in possession of all visa documents you need for the visa application on the date of the possible appointment.

3. Keep in touch

Once your appointment is booked, e-mail us at vasek@czs.muni.cz and let us know the date of your appointment. In case of any changes of your appointment, inform us, too.

4. Visa supporting documents

Once you receive the documents from Masaryk University (we send it by DHL/regular post directly to the university, not to the student), please let us know so that we can be sure everything is okay. The documents you will receive from Masaryk University are following:
  1. Acceptance/invitation letter (in English language) – for your records or your home university.
  2. Letter confirming your exchange study at Masaryk University (in Czech, Potvrzeni o prijeti ke studiu) - a document confirming the purpose of the stay in the Czech Republic for visa application)
  3. Confirmation of accommodation at MU halls of residence (in Czech, Doklad o zajištění ubytování) – a document confirming your accommodation at MU Halls of residence for visa application. This document is not signed on the front page as it got converted from the electronic document. However, this converted version is a full original that must be accepted by the Czech Embassy.
  4. Letter confirming the fact you got a scholarship from Masaryk University from Erasmus ICM + programme (in Czech, Potvrzení o zajištění prostředků k pobytu) - a document confirming your access to the Erasmus+ scholarship for visa application). This serves as a document to proof your financial sources.

We will also provided you with a scanned copy of your MU visa supporting documents.

You will hand the documents in the Czech language to the embassy together with others visa documents you put together. Make sure you apply for the long-term visa for the purpose of study. General information about the visa application can be found here.

5. Travel health insurance for the visa application

Every long-term visa applicant is required to have an adequate travel medical insurance which covers the whole period of stay (including your travel). This is the immigration law requirment and there is only once Czech republic-based insurance company PVZP to provide it. The cost of insurance is not covered by the programme nor Masaryk University.

6. Learning Agreement (not only) for the visa fast track nomination

Your acceptance in Erasmus+ ICM program allows you to get a nomination to a priority appointment at the Czech Embasssy for the visa application submission. Additionally, it also makes the visa application processing period shorter to 30 days. The first and only condition to nominate you for the visa fast track is a fully signed Learing agreement for the semester autumn 2023. You should also have the visa application ready at the time of nomination as it may take only several days from the point of nomination to getting the visa appointment.

Learning agreement is one of the Erasmus ICM official documents that is essential for your mobility. So please read the instructions below carefully.

Learning agreement is a list of courses you will take at Masaryk University. The Erasmus+ ICM programme requires every student to complete the Learning Agreement before the start of mobility (before you come to Brno). Use only the form you can download here (please replace the yellow section with relevant text, fill out before mobility sestion only at this point).

  • At your home university: You are supposed to get in touch with your home university international office to find out more details how Learning Agreement signatures are processed at your home university. There are two signatures needed from your home university, first comes from the academic advisor of your home department, the other once from your home university international office that deals with Erasmus+ ICM programme. At this point, it is the section before the mobility you are supposed to fill in with the courses you plan on taking at MU and signature section to be signed. Do not forget to sign it by yourself as well.
  • At MU: Once the Learning agreement is signed by you and you got signatures from both coordinators from your home university, you need to upload the scanned LA to the MU online application you got an access to at (you got a unique link to get in recently). Once you upload it to the application, bookmark Document, box Learning agreement, it will be sent to MU coordinator to get his/her signature.

 

See the list of available courses at MU for the autumn semester 2023 at https://czs.muni.cz/en/student-from-abroad/international-student-guide/course-catalogue (There might be courses available only for the 2022/2023 academic year, so please based your LA on the course available there. The list of course is being updated regularly). You will be able to change Learning Agreement (during the mobility section) based on the availability of courses on the spot. You will be able to make changes to your course enrolment within two first weeks of classes at MU.

 

Please do all the LA steps ASAP as we need it for the fast track visa nomination. If you have already provided Martin with your LA on the form listed above, there is no need to do it again, just let Martin know by email.

If you are a student with EU passport how is not going to apply for visa process the learing agrement anyway as it is one of programme required documents.
